Access the Targeted Environment

A document numbering template can be applied to a Site Content Type, Active Content Type, Document Library or a Custom List.

CAUTION:
The Document Number metadata column is a NextDocs column that is system generated and should never be manually created.

In the “General Settings” section click on the NextDocs Feature Management link.

On the “Features” list click on the Document Numbering link.

There are five (5) main options to configure in Document Numbering, not all of which are required. They include:

  • Document Number Template– Required; select a template from the Document Number Template menu. (Only previously created document numbering templates will appear on the menu.)
  • Prefix (Pre) – Optional; enter an alphanumeric literal, a metadata field or a date format.
  • Suffix (Post) – Optional; enter an alphanumeric literal, a metadata field or a date format.
  • Padding – Required; enter the number that defines the total positions in the numeric portion of the template. The system uses padding to determine the number of leading zeroes to add.
  • Key– Optional; it defines whether a separate sub-counter should be created and maintained for each unique value (or combination of values) assigned to one or more metadata values or date formats included in the schema. For example, if you include [location] in your schema and you define your key as “key=[location]”, each new location value will have its own sub-counter. Additionally, it defines how the variables (metadata, date formats) in the document numbering template will be displayed for the sub-counters on the NextDocs Document Numbering Administration screen.

For a harmonious display, it is suggested that a character such as a dash (-) be added after the Prefix and before the Suffix.
