Configuring daily digest emails
Most of the user options described above can be configured using the Edit Settings dialog. There are two places from which this dialog can be accessed.
One is from the Activity Stream web part, by clicking the Edit Settings link as shown.
The other is from the Lookout page, by clicking the Settings link.
Performing either of these actions opens the Edit Settings dialog. To get to the digest email settings, click on notifications in the left-hand column.
Opting In our Out
Users can begin receiving digest emails by checking the box titled “receive 24-hour digest email” in the “On/Off” section. They can later stop receiving digest emails by unchecking it.
Configuring How it is Organized
As mentioned above, items in the digest email may be grouped under headers, one for each colleague and community that you follow that had activity in the last 24 hours (unless you have told Aurea Social to leave that colleague’s or community’s section out of the digest), with a separate section just for your own activities.
This way of organizing is selected in the bottom, “format” section by clicking group items by communities, colleagues, and my activities.
Alternatively, you can forego all the sections and subsections, and just have the activities presented in chronological order (oldest on top) by clicking list items in chronological order in this same section.
Configuring Contents
In the what section, uncheck the communities option to stop including activities in your digest email based on their occurring in communities that you follow.
Uncheck the colleagues option to stop including activities in your digest email based the participation of one of your colleagues. Check my activities to include activities in your digest email based on your own participation.
If you leave communities and/or colleagues checked, you can still make it so that certain individual communities or colleagues that you follow don’t add activities to your digest email.
This cannot be done from the Edit Settings dialog, however; it must be done from a stream item posted by that person or in that community.
In the example above (see screenshot), the user viewing this item is following both the author of the event (Chris Keyes) and the community targeted in the event (Product Management). Because this user is following them, when he hovers over the item and then opens the menu from the button in the upper right, he sees options Remove Chris Keyes from digest emails and Remove Product Management from digest emails available in the menu.
Selecting one of these does not truly “remove” the community or user from the digest; rather, they will no longer be the reason events like this one appear in the digest. An event they are involved in may still appear if there is some other reason to include the event.
Once removed, the colleague or community may be re-added to the digest email by selecting events like Add Chris Keyes to digest emails that appears in the same menu.
You can also exclude events from the digest based on their event type. Any event types you have hidden from your main My Stream view will also be kept out of the digest email.
See Hiding all events of a certain type in the Web Part Summary, below, for instructions on how to do this.
As of the 5.2 release, your company’s administrators can choose to limit the daily digest email to only posts created within a certain time (e.g. the last day).
In this case, your digest email will not contain posts that were created more than a day ago but which have been commented on recently (and may show at the top of your activity stream.)
Configuring Delivery Time
Use the when section to specify the approximate time of day you will receive your digest email. The digest should appear within about an hour or so of the hour selected in the dropdown.
For example, if set to arrive at 2 pm each day, it usually comes between 2 and 3 pm, though occasionally may come later.
