Standard View and Datasheet View

The Standard view displays your items in a line-item or tabular format. This is the most commonly used view in SharePoint. The standard view can be grouped to provide an expandable and collapsible display of your items.

The Datasheet view provides an editable spreadsheet format that simplifies bulk editing and quick customization. It is handy when the data changes frequently and you want to minimize the time it takes to edit the information. Datasheet view requires the installation of Office 2003 or later.

There are some options that are common to Standard and Datasheet view. They include:

  • Name – enter a name in the View Name textbox. Optionally, you can click on the checkbox in this section and make this the default view for your list or library.
  • Audience – specify whether this is a personal view or a public view.
  • Columns – determine which columns to display and in what order.
  • Sort –If this is the default, or initial, view that is presented when a user accesses the list or library, users can still sort the list using the standard functionality. The view sort function offers a few benefits over the standard list sort. It allows you to sort on up to two (2) columns, sort on columns that are not displayed and, using the Sort only by specified criteria checkbox, sort folders in with list item as opposed to having the folders appear at the top of the list.
  • Filter – filter the information in your list or library to display only a subset of the total contents. You can filter on one or two columns. Filtering using a view provides enhanced capabilities such as: filtering using And and Or logic; filtering using relative values such as greater than or less than; and filtering partial values such as begins with or contains . Two special values, [Today] and [Me} can be used to base your criteria on the current date or the current user. Keep in mind that [Today] will only work when compared to a date and time formatted column and [Me] will only work when compared to a people and group formatted column.
  • Totals – allows you to perform mathematical functions. The allowable functions are based upon the type of column.
