Configure Set Item Permissions Workflow Action

  1. Add the Set Item Permissions action to the drop zone on the design canvas.
  2. Configure the Set Item Permissions as follows:
    • Identify the item whose permissions are to be set. This can be an item in another document library or in a subsite.
    • Set Inherit permissions from parent.

      To inherit permission from the current list or library:

      • Select Yes from the Inherit permissions from parent menu.
      • The item will inherit its permissions from the library or list and you can click on the "Save" button to complete the configuration.

      To set unique permissions:

      Select No from the Inherit permissions from parent menu and specify whether to clear the permissions that are currently set on the item before adding the new permissions defined in the action. When Remove existing permissions is selected, permissions that are defined in the action will be the only resulting permissions on the item. When it is not selected, permissions that are defined in this action will be added to the current permissions. If the item currently inherits its permissions from the parent list when the action runs, unselecting this option will cause the inherited permissions to be copied to the item.

    • To add to the existing permissions remove the check from the checkbox for Remove existing permissions.
    • To change the existing permissions check the checkbox for Remove existing permissions.
    • Select the User or Group whose permissions will be set.
    • Select the permission level from the Permission menu and click on the "Save" button to save the configuration.

      Define the level of permission that can be assigned to a user or group for the item. Unless Remove existing permissions is selected, the permission will be added to the user's existing rights. Choose the Remove option in the drop down list to remove all permissions from a user or group. Permissions are processed in the order that they are configured, therefore permissions can be cleared from a user in the first panel, and then a new permission level can be set for the same user in the second panel.

    • To define permissions for another user or group:

      Click on the “Add row” link and follow the preceding instructions.
