Workflow Settings

The Workflow Settings command opens the Workflow settings window.

The Workflow Settings window contains a ribbon with three (3) groups: Commit; Settings; and Help.

The Workflow Settings window input form is divided into two sections.

  • Title and Description allows you to name the workflow and to briefly describe the purpose of the workflow.
  • Workflow Options includes the options that determine how and when the workflow will start.
    • Start Manually – if enabled, provides the user with the option to start the workflow manually from a list item.
    • Require manage list rights – if enabled, the user starting the workflow will require manage list rights.
    • Start when items are created – if enabled, the workflow will start automatically when a new item is created or uploaded.
    • Start when items are modified – if enabled, the workflow will start automatically when an existing item is modified.
    • Enable verbose logging – if enabled, adds increased context data when viewing the history of a workflow instance. This must be enabled in the farm before it can be enabled for a workflow.
    • Publish without validation – if enabled, bypasses the validation prior to publishing. While it saves time when publishing a large workflow, this is not recommended.
    • Enable custom history messages – if enabled, actions which have “Message to log on completion” set will be included in the workflow history.
    • Expected workflow duration – if configured the workflow will record this duration in the database for reporting purposes.
    • Task List – identifies where the tasks created by the workflow will be stored. NextDocs uses the To-do List.
    • Form type – identifies the type of start form to be either a default, custom or InfoPath form.

The Settings group in the Workflow Settings window contains two (2) commands: Variables and Association Columns.

  • The Variables command opens the Workflow Variables window where you can add, delete or modify workflow variables.
  • The Association Columns command opens the Association Columns window where you can specify the site columns that will be associated with the workflow. The dialog that is triggered when you click on this option allows associations to site columns to be created, added, deleted or modified. The Association Columns dialog also allows the user to create a new site column to associate with the workflow.

The Help group provides basic help that describes the Workflow Settings.

Note: Workflows are associated with a library or a list. Folders and sub-folders within libraries are subject to the same workflows as the parent library. Therefore, if a workflow is set to start when items are created or modified, any item, regardless of how many folders or sub-folders down it is stored, will trigger all the workflows that are set to start automatically.
