Automatic Catalog Maintenance

The current status of catalogs is logged on the Cat. Maintenance tab in the Station info area for each station.

The system determines which catalog maintenance records need to be communicated to each station based on the entries in the (Ext. ) Cat.Maint . ID, (Ext. ) Cat.Maint . Date and (Ext. ) Cat.Maint . Time fields.

Note: If this information is missing for a station, all catalog maintenance records are output the next time communication is initiated.

In this example, a few catalog values in the Catalog info area on the catalog maintenance station are edited (in this example the main office with station number 1):

  1. Start the Maintenance module on the catalog maintenance station, see Starting Modules.
  2. Switch to the Catalog info area, see Catalog Info Area in the CRM.core Administrator Guide.
  3. Edit a few catalog values. (In this example, a value is added to the Country catalog, while an existing entry is edited and another deleted.)

    Corresponding records are added to the Catalog Maintenance info area:

These changes are communicated to branch offices (in this example "NB 1", station number 101) by the catalog maintenance station. The catalog maintenance process is logged on the Cat. Maintenance tab in the Station info area.

1. Outputting on the Catalog Maintenance Station

The catalog changes are included in the next communication file generated by the catalog maintenance station, see Output.

The Cat. Maintenance tab for stations 1 and 101 on the catalog maintenance station contains the following data after outputting the communication file:

2. Inputting on the Branch Office

The catalog changes are applied to the branch office when the communication file is input, see Input. The catalog maintenance data is input first, and then the normal communication data.

The notification file created when inputting the communication file confirms that the catalog values have been updated on the branch office, >> Confirmation.

3. Outputting on the Branch Office

The contents of the Cat. Maintenance tab for stations 1 and 101 on the branch office remain unchanged after outputting the communication file.

4. Inputting on the Catalog Maintenance Station:

The notification file is input as part of the next input process on the catalog maintenance station, see Input.

Once the (Ext. )Cat . Maintenance ID is the same as the (In. )Cat . Maint . ID, the catalogs on the branch office are up to date.

Note: The catalog maintenance station continues outputting catalog maintenance records (i.e. each time the station communicates) until a notification file is received confirming input on the other stations.
