Tasks

You can add tasks as follows:

In order to organize complex tasks, you can:

  • Add tasks for yourself or for (several) other reps.
  • Display tasks as projects, and divide them into sub-projects, see Task Hierarchy.
  • Enter a date and time in the Escalate on and Escalate at fields to create an escalation records if all required participants have not accepted the invitation prior to the tasks' start
  • Reschedule tasks, in which case the reps entered in the task receive appropriate messages.

Adding Tasks

To add a new task:

  1. Select (Collaboration) > Tasks. You can also add tasks from the Tasks node in the person/company tree view.
  2. Click on (New).

  3. You can select a task template from the Template field, see Task Templates. The values entered in the template are automatically transferred to the fields in the new task.
  4. Enter a Subject for the task.
  5. You can add participants to the task, see Adding Internal Participants.
  6. If you enter multiple participants, all participants need to set the status of the task to "Completed" before the task is set to completed. Enable the Single Task check box to determine that only one of the participants needs to set the status to "Completed" for the task to be set to "Completed".
  7. Save the record.

Task Templates

If you regularly add similar tasks, you can save the task data in a task template and use the template when adding a task, reducing the time it takes to enter data.

To add a task template:

  1. Select (Collaboration) > Task Templates.
  2. Click on (New).
  3. Enter the data.
  4. Save the record.

Filtering Tasks

You can restrict the task search to those tasks assigned to you or to your open tasks:

  1. Select (Collaboration) > Tasks.

  2. Select My Tasks to restrict the view to only those tasks where you have been entered as the task’s rep.
  3. Select Tasks I have to finish to restrict the view to only those tasks where you have been entered as the task’s rep and that are still open.
  4. Click on Reset to remove the current filter and display all tasks.

Changing the Status of a Task

Click on Completed or Missed in the header to set the status of a task:

Task Hierarchy

You can create a hierarchy of tasks to depict complex structures for projects.

To structure a project with sub-tasks:

  1. Add a new sub-task to a task on the Sub-Tasks tab under Related Data.
  2. Save the sub-task and select Hierarchy Tree from the context menu.
  3. You can use the hierarchy tree to navigate between records in the project, add additional records from the context menu and edit sub-tasks.
