Importing Catalog Values using External Keys

Learn how to import catalog values using external keys.

When matching up catalog fields using external keys, the following steps are carried out:

  1. If the External Key option is enabled for the field (e.g. Country in the Company info area) in the field properties of the import format, the catalog value's external key is used to match up the record, see Field Properties.
    Note: You can use a different external key for different language versions of the same catalog value if you start the Import module in the corresponding language: The system first matches up data using the external key of the catalog value in the current language. If this key is not present, the external key of the catalog base language is used instead. (If the key is not present in the catalog base language, the keys entered for other languages are not used to match up data.)
  2. If step 1 is not successful, the catalog value's text is matched up, first in the current language and then in the catalog base language.
  3. If step 2 is also unsuccessful, and the Prompt new catalog entry option is enabled in the File Format dialog, new catalog values are matched up using the New Catalog Values dialog, see File Format.

    • Select New to add the value as an external key and text entry in the catalog base language.
    • Select OK to select an existing value to be used instead of the imported value or to enter a new value. The external key is not imported.
    • Select Cancel to prevent the catalog value from being added.
    Note: You can disable the manual match-up of catalog values for individual fields by enabling the Automatically add new catalogs option in the Field Properties, see Field Properties.

Importing in the Catalog info area

The Text in base language field in the Catalog info area can store either the current catalog value's external key or the text in the catalog base language (in which case the content of the External Key is used to match up catalog values).

You can use the 1st Par. Cat. Text field to import dependent catalog fields (e.g. Interest, dependent on the Interest Group) into the Catalog info area. This field can store either the external key or the parent catalog text in the base language. The parent key or text is first matched up, then the catalog value itself. If no corresponding entry is found for the parent catalog, the record is rejected as false.
