Property Match-up (BTB only)

The unique property key is composed of the station number and property number, and is automatically assigned by the system.



You need to select at least one of the following options when matching up properties: Match up by property number, Match up by name, Match up by address.

Match-up by property number

The system searches for similar properties based on the property number in the import file and either using the station number defined in the import file or the default value.

Only use this option if property numbers are unique.

  1. If Aurea CRM finds records with an identical property number, the external and internal records are merged (even if the property name is not identical). Values in the external file overwrite internal values. If you have enabled the Update -> Control option for individual fields, you can determine whether to use the internal or external values for this field during the import process.
  2. If the property number is not found, the system continues matching up the property, this time by name and address.
    • If you have additionally enabled the option If the property number is found, compare name/address, Aurea CRM does not merge records if the property numbers are identical, but matches up the property using the name and address as well. Use this option if property numbers in the import file are not unique.
    • If you additionally enable the option If the property number not found, add a new project, Aurea CRM adds external records to the database without matching them up further if no identical property number is found.

Match-Up By Name

Properties are matched up by name.

  1. Only if the first 20 characters of the property name are identical, is the property matched up further. The system tests whether the two names correspond by more than 50%. If not, the record is refused as false.
  2. If the name of a property is found in the database, the system compares the addresses.
  3. If both the property name and the address are similar, both records are recommended for merging.

Match-up by address:

Properties are matched up by address.

  1. The Country, Postal Code and City are compared, followed by the Street. If the two addresses are identical, the search is continued.
  2. Properties are then matched up using the name: If no similar record is found, then the record to be imported is either rejected as "false" or added as a new record.
  3. If both the property name and the address are similar, both records are recommended for merging.
Note: To increase the performance for large volumes of data, Aurea recommends only using the Match up by address option, as the system only lists properties with similar addresses (identical Country, Postal Code, City and Street) and does not compare the property name and address phonetically.

Match-up within one country only: Match-up according to addresses can be further restricted using this option. Only properties in the same country are taken into account.

Match-up by 'n' identical postcode digits: Property records are matched up according to a specific number of identical postcode digits. If you do not enter a value, the value entered in the Match Lgth . Field in the in the Country info area in the Maintenance module is used (default: 3).
