Document Submission
The system provides four methods for submitting a document:
- Navigate to a document or a document request location. This is the default option.
This option creates a document in the location based upon the corresponding folder
path defined in a document inventory list and navigates to that location. For
example, if the folder path given is NextDocs Document Library> [Country] and
if a user selects Germany as Country, the document would be created
and stored in a folder titled Germany in the NextDocs document library.
Similar operations happen if the user selects France or Sweden as
Country. If a folder does not exist for the selection, the folder will be
created.
- Open and navigate to a document or a document request. This option creates the document in the location based upon the corresponding folder path, navigates to the folder, and opens the document for the user.
- Create/request another document with new selections. This option creates the document, stores it in the correct location, and returns the user to the Smart Document User Interface (UI). The UI will not be pre-populated with the previous selections. It allows the user to create a new and different type of document.
- Create/request another document from existing selections. This option creates the
document, stores it in correct location, and returns the user to the Smart Document
UI with previous selections pre-populated. The user can now modify one or all of the
entries or accept them as they are. Tip: The document request is a feature used in the NextDocs SOP solution to require approval prior to creating a document.
If the user selects a combination whose corresponding document inventory list item contains an Autoname schema such as Smart Document-[Country] and if a document already exists with the resulting name, the system displays the message The document already exists. The user will be presented with two options:
- Click the checkbox to overwrite the existing document. If versioning is turned on in the library, the new document will be added as a new version
- Rename the document
