Approve Document

When a document’s regulatory review is completed, the document is sent for approval.

The approval stage initiates the following events:

  • A PDF rendition is generated
  • The review watermark is removed
  • Track changes is turned off
  • The document is incremented to the next minor version
  • The Lifecycle Status is set to In Approval
  • The workflow status is set to Approval In Progress
  • An approval workflow is initiated
  • Approval tasks of the type selected are generated for each of the approvers configured in the associated document type
  • Email notifications advising the assigned approval task are sent to each of the approvers

To initiate the approval process:

  1. Select Change Lifecycle Status from NextDocs menu on the document’s context menu.
  2. Enter the user ids of the approver(s) and validate by clicking on the validation button, or search for an approver or approvers using the people picker
  3. Select the approval type from the menu
  4. Click Start Workflow


The approval process initiates a workflow and updates the workflow status to Approval In Progress and the lifecycle status to In Approval.

The Workflow Overview screen contains the workflow status details, user actions, workflow tasks and a link to the technical details for the currently in progress approval workflow.
