Campaign and Marketing Activity Templates

Templates make it easier to add campaigns and marketing activities that you need to add regularly and are similar.

When adding a campaign or marketing activity, you can select a template. The data entered in the template is automatically transferred to the new campaign or marketing activity, including data such as responses, participants etc. You can then edit the data as required by the new campaign or marketing activity.

Note: If you are porting campaign templates between development and production systems, ensure that the field numbers 4 and 15 in the Activity Execution (AD) record are empty. If they are not empty, then after porting, manually update field number 5, else the execution of marketing activities fails.

Document templates are used to create mass mailings and e-mails. Enter the desired document template in the marketing activity.

Adding and Editing Templates

To display templates:

  • Select (Marketing) > Campaign Templates.
  • Select (Marketing) > Marketing Activity Templates.

    Click (New) to add a new campaign or marketing activity. Enter "Template" in the Status field.

  • Select (Collaboration) > Documents and search for one of the following documents:
    • CORE_Confirmation_E-Mail.htm: Contains a short text used to confirm the registration for an event. Text is included for both English and German. The appropriate language is used based on the language entered for the recipient (English is used as the fall-back option).
    • CORE_ProductInformation_E-Mail.htm: Contains a short text (English and German) used to inform the recipient of a new product. Two possible replies are included in the text as links.
    • CORE_English_Invitation.doc: CORE_English_Invitation.doc contains a short invitation text and incorporates several fields in the database.

    These documents are read-only. To edit these document templates:

    1. Select Open document from the document’s context menu
    2. A Microsoft Word message may be displayed if you are opening a Word document. Confirm with Yes.
    3. The document is opened in the associated application.
    4. Edit the document:
      • You can edit the text.
      • You can add additional fields to the document (Mailings tab, Insert Merge Field option).
      • HTML files may contain additional fields in comments.
      • Save the document locally.
      • You can either directly enter the updated document in a marketing activity execution record or first upload it to the Aurea CRM database (Documents info area), see Documents.
        Note: Contact your administrator for details on the meaning of the field codes.

Predefined Campaign Templates

The following predefined campaign templates are available:

Product Promotion

Contains an marketing activity that sends an e-mail to the target group with a follow-up by telephone or a personal consultation depending on the response to the e-mail.

  • "Product Information" marketing activity: This marketing activity sends out e-mails and create activities. The target group is created using a query. The activity uses the CORE_ProductInformation_E-Mail.htm document template to send out the e-mail.

    Three responses are defined: The response "Interested" assigns the respondent to the "Consultation" marketing activity; "No response" assigns the recipient to the "Follow-up" marketing activity; "Not interested" has no follow-up marketing activity.

  • "Follow-up" marketing activity: Creates telephone activities; the target group is generated automatically for those recipients where "No response" is entered in the "Product Information" marketing activity.

    Three responses are defined: The response "Interested" assigns the respondent to the "Consultation" marketing activity; "No response" assigns the recipient to the "Follow-up" marketing activity; "Not interested" has no follow-up marketing activity.

  • "Consultation" marketing activity: Creates visit activities; the target group is generated automatically for those respondents who replied with "Interested" to either the "Product Information" or "Follow-up" marketing activity.

Event

  • "Invitation" marketing activity: This marketing activity creates activities and letters. The target group is created using a query. The activity uses the CORE_English_Invitation.doc. document template for the letter.

    Three responses are defined: The response "Accepted" assigns the respondent to the "Confirmation" marketing activity; "No response" assigns the recipient to the "Follow-up" marketing activity; "Declined" has no follow-up marketing activity.

  • "Follow-up" marketing activity: Creates telephone activities; the target group is generated automatically for those recipients where "No response" is entered in the "Product Information" marketing activity.

    Three responses are defined: The response "Interested" assigns the respondent to the "Confirmation" marketing activity; "No response" assigns the recipient to the "Follow-up" marketing activity; "Not interested" has no follow-up marketing activity.

  • "Confirmation" marketing activity: Creates e-mail activities; the target group is generated automatically for those respondents who replied with "Accepted" to either the "Invitation" or "Follow-up" marketing activity. The e-mail document template CORE_Confirmation_E-Mail.htm is used by this marketing activity.

    Only one response is defined, "OK", which assigns the respondent to the "Event" marketing activity.

  • "Event" marketing activity: This marketing activity corresponds to the actual event. The target group is made up of those respondents whose responded with "OK" to the "Confirmation" marketing activity.

    Two responses are defined: "Attended" and "Did Not Attend". 50 points are assigned to the "Attended" response.
