Samples

Your administrator can define the number of samples(quota) you are allowed to issue.

Note: : Samples are only available in the LSI industry solution.

You need to have the Rx role (instead of the OTC role) assigned, otherwise you cannot issue samples.

Issuing Samples

To issue samples:

  1. Switch to the desired activity (that must be linked to a person record).
  2. Click on (Samples).
  3. The following articles are displayed in the quick add:
    • All articles that have a sample configuration assigned in the rep's business area.
    • All articles assigned to Marketing Objectives or special offers


  4. You can enter the issued number using the plus or minus buttons, however, the issued samples are not shown in the list. Only items where the quota is exceeded are shown. You can only enter the Quantity issued in the list. If you also want to enter an Order Quantity, switch to the details view.
  5. Click on the desired article to switch to the input mask.


Note:

As soon as you enter data in the Quantity issued and Order Quantity fields, the quota is re-calculated. Exceeded quotas are marked in the list as well as in details view.

Quota in Serial entry is not the same as the available quota. The value of quota is Max quota - (item issued + items ordered). It does not consider the number of items issued in a different sample record. The available quota is calculated only on the server side.

Confirming the Issued Samples

The recipient must confirm receiving the samples.

To confirm receiving samples:

  1. Switch to the Confirmation tab.

    A report containing an overview of the issued samples is generated.



  2. You can:
    • Click on (Confirm Samples) to display the Signature dialog box allowing the customer to sign the confirmation.
    • Click on (Send E-Mail) to mail the document e.g. to the back office for further processing. Your administrator can determine that the account's/person's e-mail address is entered automatically.
    • Click on (Print) to print the document.
    • Click on Close to return to the samples.
Note: Depending on your configuration, only the Close button might be available.

Viewing the List of Issued Samples

To view the list of all issued samples:

  1. Click on and select Samples.

    The samples you issued samples are listed:



  2. Click on an item to switch to its details.
