Calendar Information

Calendar information that is stored on your mail server (not on your local desktop machine) may be available though your Email Continuity account, if your organization provides this data to the data center. If your organization makes this data available, you can access your calendar through Email Continuity when the service is Active. This data will be current as of your organization’s most recent synchronization with Email Continuity.

If your organization imports calendar information to Email Continuity, you will see a the Calendar icon on the main page when you log into Email Continuity during an activation.

You will not see the Calendar icon if you log in while the system is inactive.

NOTE

The Calendar function allows you to see only your personal calendar. You cannot schedule meetings, accept new invitations, or see others’ busy/free schedules.

To display the calendar, expand the Calendar menu. The Calendar page appears.

From the Calendar page, you can view your schedule information. You can change the calendar view by clicking on one of the tabs across the top of the calendar page:

  • Day — Today’s date highlighted within the month view.
  • Work Week — Monday through Friday schedule, shown in hour increments.
  • Week — Sunday to Saturday schedule, shown in hour increments.
  • Month — Schedule for the current month.
  • Year — Schedule for the current year.

To look at a specific date, click the Goto link at the top of the page and select the date from the calendar.

TIP

Occasionally, calendar entries are missing from the Webmail calendar.

If this happens, in the left-hand menu, click Options and then click Global Options. Directly beneath the Global Options header click the Reset All Preferences button. Then log out and log back in. The missing calendar entries should now be displayed.

This action does set the Webmail interface’s options back to default values, so customizations will have to be set again.

NOTE

When accessing the meeting details from the webmail calendar for a meeting you have tentatively accepted, the status field will display confirmed. The webmail calendar does not differentiate between accepted and tentatively accepted meetings.

Print your calendar information:

  1. Using the tabs at the top of the page, change the view so that it displays the calendar information in the format you want printed.
  2. Click Print and select an available printer.

Search for a specific calendar entry:

  1. Expand the Calendar menu and select Search. The Basic search page appears.
  2. In the Title field, enter all or part of the title of the calendar entry.
  3. In the Description field, enter all or part of the event description. Use % as a wild card.
  4. In the Time Span drop-down menu, select the period of time to search.
  5. Click Search. If the search does not provide the results you need, try the Advanced Search function.
  1. Click Advanced Search in the menu bar at the top of the page.
  2. To search on Title or Location, enter search terms. These do not have to be an exact match. Use % as a wildcard.
  3. For time span, choose the start time, change the end time, or select a duration.
  4. Click Search.

NOTE

Recurring meetings with an occurrence that matches your search criteria will be listed only once in the search results, even if the meeting occurs multiple times within the date range of your search.
