Using Outlook Extension with Email Continuity

Your administrator has installed a backup email feature that helps you to continue to send and receive email when your primary mail system becomes unavailable. This feature allows you to choose between continuing to send and receive email using Outlook or switching to the web-based email service or using your mobile device.

Using the Outlook Extension or Webmail Backup

You may receive an email from your administrator before the backup system is activated. If not, you can tell that the backup system has been put in place because a Connected to Backup link appears in Continuity section of the AMS tab:

When you click this link, a dialog box appears for you to select which email service to use.

To continue to use Outlook, press OK.

To switch to AMS Webmail, click Open AMS in a Web Browser. You may have to provide your AMS user name and password.

NOTE

In some cases, your computer may not be able to connect to the back-up service because your environment uses proxy servers. If this is the case, a Proxy: Click to Login link appears in the ribbon tab. Click this link, and in the dialog box that appears, enter the username and password provided by your administrator.

Some things to know about using the Email Continuity service in Outlook:

  • You can send and receive email as usual, and your emails will come from your usual email address. Message importance and message sensitivity information is maintained.
  • You can send, accept and decline meeting invitations. However, schedule information for other users (free/busy information) is not available. Your Reminders window continues to operate as usual.
  • You can edit your Contacts information as usual; the data will be updated after the activation. You can see information in the Global Address List.
  • You can see and modify tasks using the Outlook Extension.

You cannot use the following features from the Outlook Extension:

  • “Out of Office” notifications
  • Delegate access (viewing other users’ mailboxes)
  • Delivery options (“Do not deliver before...” rules)

NOTE

If you have multiple Outlook profiles, only one cached address book is available during an activation.

Some things to know about using the Email Continuity service on the web (Webmail) or on your mobile devices:

  • You can send and receive email as usual, and your emails will come from your usual email address.
  • You can see users and email addresses in your Contacts list and in the Global Address List but cannot add to or edit them.
  • You can view your own preexisting calendar information. You cannot see current schedule information for other users or send new invitations.
  • You can switch back and forth between the Webmail, mobile and Outlook applications during an activation period, but mail is not synchronized between them. Once your primary email service is restored, all email activity that occurred on any device is synchronized back to your primary email system.
