Items in a Process

Items in processes are added as references to the item in the Aurea.CRM database.

The actual item (format, file etc.) is only included in the .zip file generated when the package is exported. You can therefore edit the items in the Aurea.CRM database, and the latest version is included whenever the package is exported. Synchronize the package with the database to view those items included in the package that have been edited or deleted in the Aurea.CRM database since the last synchronization, see Synchronizing Packages .

When an item is added to a process, all items referenced by that item are also added, unless you have chosen not to include all dependent items (Do not include all dependencies option).

Note: If you enable Do not include all dependencies for a record, references to parent records and mandatory links are still included in the package.

The following is included for each type of item:

  • Info Area: No other items are added.
  • Format: Fields, info areas, catalogs, document records, rep records and other formats referenced by the format are also added to the package.
  • Catalog: The catalog and all its entries are added to the package. If the catalog is a child catalog, the parent catalog is also added.
  • designer Unit: The configuration containing the selected designer unit is added to the package, as are all users and user groups that use the configuration. Parent configurations are also added to the package, except for the configurations supplied by update (e.g. UPDATE_DEFAULT etc.).
  • File: Files added to the Aurea.CRM database include a reference to the document record in the Documents info area (D1).
  • Record: A reference to the info area is automatically added to the package. If a record includes catalog values, a reference to the appropriate catalog is also added. Any records which are linked to the selected record via a 1-1 or 1-n relationship are also added automatically.
  • Group: All records in the selected info area that meet the condition are added to the package. The condition is re-evaluated whenever the package is refreshed (Check Unit Availability) or exported.

Exceptions

You need to add the following items manually:

  • The Data Model format, if you changed the text used by info areas, fields or catalogs in the data model. Note that the Data Model format is added automatically if you add an element from the custom data model to the package.
  • Documents referenced by document fields in records
  • In order to import multi-language formats and catalogs correctly, the corresponding Language Table (00)records must be present in the package. Languages/station (01) records added to the package and not present on the target station are automatically assigned to the target station during import.
  • Custom processes (defined in the Rights module) not referenced by any formats in the package and that are not a parent process of any processes already added to the package.
  • Catalogs used in Variable values (Z6)
  • Local extended access rights formats
  • Records in the CRM Process (R4) referenced by other CRM process records; only triggers and workflows entered in R4 records are automatically included in the package (unless the CRM Process ID field (5) contains wildcards).
Note: The Relationship Level info area always includes two reciprocal records. Only add one of the two records to the package. The second reciprocal relationship is automatically added during the import process. If you add both relationships to the package, you receive an import error, as the reciprocal relationship has already been created and cannot be updated.
