Adding Offline Users

Learn how to ass an offline user and user's station.

To add an offline user and the user’s offline station:

  1. Switch to the desired rep in the Rep info area.
  2. Enable the Offline user field (select View > All Mask Fields from the menu to access the field).
  3. If no login record exists for the rep, you need to enter a User name (select View > All Mask Fields from the menu).
  4. Save the record.
  5. Aurea CRM automatically adds the following records:
    • A record in the Station (AS) info area for the new offline station:

      If a station number is entered in the rep record (Offline Station No. field) and this station already exists, the existing station record is used. Exceptions: Main office, catalog maintenance station, current station, stations marked as deleted and stations where another rep is entered.

      If a matching station is found, the offline user is entered as a rep and no new station is added.

      Otherwise a new station is added: The next free station number in the number range is assigned to the new station, see Configuring the Offline Server. The station number is entered in the Offline Station No. field in the rep record.

      If no station numbers are available, the process is canceled.

    • One or more records in the Station Languages (01) info area, see Offline Station Languages.
    • Two communication connections in the Communication (C1) info area: server -> offline station (communication format entered in the variable "update_OfflineSyncDefinition") and offline station -> server (communication format entered in the default values)

      If one of the communication formats is missing, the corresponding record is not added.

      If a corresponding communication connection already exists, the Input and Output fields in the record are enabled.

    • If not already present (see above), a record is added to the Login (US) info area using the User Name entered in the rep record.
    • Two records in the Central Login Configuration (ES) info area: One for the current station (server) and one for the offline station. The user name is taken from the offline user's login and rep records (see above), see Default Values and Fallback Values for Offline Users and Stations. The template's station number and all other values are taken from the default values you have defined, see Defining Access Rights and Default Values.
    Note: If a login record (US) already exists for the rep, the values (including empty values) in this login record overwrite the default values when adding a new ES record for the current station (server).

    The domain and Windows user in the ES record for the offline station can be edited despite a template station being defined (Template (Station No.) and optionally Manage password globally), and the domain and Windows user are not overwritten by the values in the main office's ES record if changes are made.

    When adding records, the defined access rights are ignored with the exception of the default values. The default values also apply to the SU in this context.

    If corresponding records exist, no new records are added. Existing records are not edited.

  6. Aurea CRM enables the Initialize offline station in the offline user’s rep record. This determines that a data stock download is automatically created for the offline station the next time data is output, see Configuring Offline Stations. The field is automatically disabled once the output has taken place.
Note: When importing via CRM.cockpit, this function is ignored.
