Document Inventory List
The document inventory list contains one list item for each unique Domain/Group/Artifact combination. It defines the associated parent content type, folder path, template, CTD module, section and element for each unique combination of Domain/Group/Artifact. The document inventory list is linked to the content type list through the parent content type property. This property retrieves the content type list item(s) whose CtType property matches the parent content type. The properties for the CtType are then assigned to the artifact.
- Domain Name – Identifies the highest level of classification for a document
- Group Name – Identifies the secondary level of classification which falls within a domain. For example, Domain Name is United States and Group Name is California

Artifact Name – Identifies the tertiary level of classification which falls within the Domain Name/Group Name combination. For example, Domain Name is United States, Group Name is California, and Artifact Name is San Diego
CAUTION:The Domain/Group/Artifact fields are the only set of fields to respect both parent and grandparent level filtering. If you apply filtering for Artifact Name, it respects both Domain Name and Group Name instead of just Group Name. - Template Name – Identifies the authoring template used for
each artifact (document). The template must exist in the NextDocs template library.
If the template does not exist, an error message is displayed:CAUTION:If the template for the selected information is not properly configured, ensure that the template exists in one of the two template libraries.
- Parent Content Type – Identifies the parent content type for
the artifact based on the unique Domain/Group/Artifact combination. The parent
content type retrieves the CtType list items from the content
type list. The artifact is created based upon its parent content type as it is
defined in the content type list.CAUTION:If the content type list does not contain an entry for the parent content type identified in the document inventory list, the additional metadata section will remain blank and no additional metadata will be collected.
- Folder Path – Identifies the folder path where the artifact is stored. It identifies the library which is enclosed in parentheses. Additionally, it can identify a specific folder or folders where the document resides within the library. For example, (Library Name)>[folder name]. The folder name can be expressed as a literal value such as ProductName or a schema that the system will resolve based on selected values. For example, (ProductName> [Country]). The brackets [ ] are filled in with the value selected when creating the artifact (document). If this folder structure does not exist when the document is submitted, the system creates the folder structure.
- File Name Required – This feature is not used
- Autoname Template – Identifies the schema used to auto name
the document. If this field is left blank, the user will be required to enter a
nameTip: For more information concerning the Autonaming feature refer to Autoname.
- CTD Module – Identifies the CTD Module for each artifact For example, Module 1, Module 2, etc.
- CTD Section – Identifies the CTD section for each artifact
- eCTD Element – Identifies the eCTD element name
- Workflow Name – Identifies the workflow to be initiated
upon document creation. If no workflow is required to start, this field can be
left blank CAUTION:The workflow must not require start data and must be published in the current library.
- Dynamic Authoring Template – This field allows the user to
dynamically select a template from the NextDocs template library. For example, if
there is a document template for each state, for example-California_Template,
Delaware_Template, Michigan_Template, rather than having 50 document inventory list
entries, the system allows the administrator to define a dynamic authoring template
such as [State]_Template. When the user selects a state, the system will
resolve the template name by substituting that value into the template name.CAUTION:Refer to NextDocs Master Template Library for details on the order in which the system will search for a template. If no dynamic authoring template is found, the system will default to the standard template.
