Handling external attendee settings

External attendees in this context are persons whose mail addresses are not part of the defined mail address spaces.

Connector creates notification messages (invitations), when synchronizing appointments from Aurea CRM to Lotus Notes. But, are such appointments modified in Lotus Notes these notifications are sent by Lotus Notes itself – in other words: connector has no control, which attendees are notified. connector supports three options how to handle external attendees.

  • No special handling

    If this option is enabled, connector doesn’t touch external attendees in the Lotus Notes Appointment. Although connector doesn’t send invitations to external attendees when the appointment changes in Aurea CRM, Lotus Notes will send invitations after changing the appointment in Lotus Notes.

  • Remove external attendees from list (recommended and default setting)

    If an appointment is created in Aurea CRM and this option is set external attendees will be removed from the attendee list in Lotus Notes. Therefore these external attendees will not receive any invitations if the appointment is changed either in Lotus Notes or Aurea CRM.

    Note: while synchronizing an appointment from Aurea CRM to Domino Server any external attendee of the appointment will be stored in the mmAttendees property with a flag HiddenExternalAttendee = "true". Such external attendees are not visible as attendees in Lotus Notes (which means they are removed from the attendee fields).

    During the synchronization from Domino Server to Aurea CRM such "hidden" external participants will be visible in Aurea CRM as well as external attendees additionally added by the user in Lotus Notes.

    If such an appointment is synchronized from Aurea CRM to Lotus Notes again, all external participants are moved into the mmAttendees property.

  • Set prefix for invitationsThis option was built in for compatibility to update.seven groupware for Lotus Notes. If you choose this option the external participants' email addresses will be prefixed by the defined string (default: "extern") and therefore invitations will be sent to invalid e-mail addresses.
