Manage Lifecycle Reset of a Parent Document

This section defines the actions to be taken when a parent document’s lifecycle is reset to a draft stage.

Resetting Lifecycles of Child Documents

The option to reset lifecycles of a child document upon a parent lifecycle reset applies only to documents bound by a float and lock relationship.

If this option is enabled, the follow events automatically occurs when a parent document is reset to a draft lifecycle stage:

  • For child documents that are in a major version:
    • The system automatically resets a document to a draft status, following all the rules of lifecycle reset such as incrementing the document to the next minor version.
    • The system automatically re-establishes the relationship with the new minor version of the parent document.
  • For child documents that are in a minor version:
    • The system automatically re-establishes the relationship with the new minor version of the parent.
Warning: Although a document is incremented to a major version when an approval workflow is started, the document is treated as a minor version with regards to document relationship lifecycle reset until, if and when, the approval process is completed with an approved outcome.

User/Groups to Notify Option

The User/Groups to Notify option allows an administrator to select an user(s) and/or a group(s) to be notified when a parent document lifecycle is reset. The notification is in the form of an email and the text is not modifiable. Each notification identifies the documents in the relationship and indicates which document is the parent document and which document is the child document. The email also provides a link to each document.

Notifying Document Authors of Child Documents

If a notification option is enabled, the system issues reset notification to a listed document author of each child document in the relationship.
