Document Audit Log Filtering

You can filter the audit log of a document using a filtering panel to display the information based on the filter criteria. To access the panel, click Show Filter Panel link.

The panel allows you to select specific categories or sets of categories to filter on.

Most of the Time options are based on date and time. The exception is the On option which filters on the date only. If you select the Between option, a second date picker is displayed so that you can select a beginning date and an ending date. Ensure that this is not inclusive. For example, if you enter between 02/05/2012 12AM and 02/15/2012 12AM, the system includes events from 2/5, but not events from 2/15.

The following table describes information on events and description.

Event Category Description Options
Document Name Enter all or part of the name. Case insensitive, “Contains” functionality
Initiator Enter or select the events that were initiated by one user. Accepts one User-ID only.
Event Source The overall category of the events you wish to see.

Event Type The specific type of event that you wish to see. Allowable values are filtered and available based on the Event Source.
Server Time Allows you to specify a date and time or a timeframe for which you wish to display the events. This would be the time on the server when the event occurred.

Local Time Allows you to specify a date and time or a timeframe for which you wish to display the events. This would be your local time when the event occurred.

To filter the document audit log:
  1. Access the document audit log
  2. Click Show Filter Panel. The system opens the filter panel and the Show Filter Panel link is changed to Hide Filter Panel
  3. Enter the filter criteria in the corresponding textbox or select the filter from the corresponding menu
  4. Click Filter
To clear the filter criteria, Click the Clear Filter button, and the system displays all events. To close the filter panel, Click Hide Filter Panel. The hide filter panel automatically clears all filtering.

Document Name filtering:

To filter based on a document name, you can enter all or part of the name. The document name is case insensitive and filters on a contained in basis. If the criteria is contained in the document name, the document is displayed.

Initiator filtering:

To filter based on the initiator, enter the Initiator value manually and verify or select from the People Picker. Only one user id is allowed in the filter box. If you enter more than one user, the system returns a message indicating that you are only allowed to enter one item as shown in the following figure.

Event Source filtering: When you open the Event Source menu, all valid NextDocs events that generate an audit entry are displayed as shown in the following figure.

Event Type filtering:

The Event Type menu is not available unless you select an Event Source as the values in the Event Type menu are the entries that correspond to the selected Event Source. Refer the following figure for event based filtering screen.

Server Time filtering:

For server time filtering, you can set filtering based on the following options:

  • After
  • Before
  • Between
  • On

If you select the After option, the system returns all events that occurred after the date and the time selected. If you select the Before option, the system returns all events that occurred before the date and the time selected.

If you select the Between option, the system displays a second textbox and Date Picker. All events that occur between the two dates are displayed. Note that events that occur on or outside of the date and the time entered as criteria are not displayed.

If you select the On option, the time parameter is removed and the system returns all events that occurred on the date selected.
