Synchronizing groupware appointments with Aurea CRM

Groupware appointments are synchronized with update.CRM using rules.

Rules for synchronizing appointments

When synchronizing appointments in the groupware system with update.CRM, the following rules are applied:

  • If the appointment was added or edited in the groupware calendar, no additional participants were added, and the groupware user is found in the update.CRM database:
    • The appointment is added to the person record corresponding to the groupware user and the groupware user is entered in the Rep field of the appointment in update.CRM.
  • If the appointment was added or edited in the groupware calendar, and additional participants were added:
    • If the groupware user is found in the update.CRM database, and all other participants are found unambiguously in update.CRM (based on their e-mail addresses):

      The appointment is added to the person record corresponding to the groupware user and the groupware user is entered in the Rep field of the appointment in update.CRM. All other participants are also entered as participants in update.CRM for this appointment.

    • If one or more participants were not found in the update.CRM database:

      The appointment is added to the person record corresponding to the groupware user and is marked for editing in update.CRM.

Opening appointments in Aurea CRM from the groupware system

Your administrator can determine that a link to the corresponding update.CRM record is displayed in the text field in appointments in the groupware system. Click on the link to open the record in update.CRM.
